Screen Sizes and Projection Distances

If your meeting will be held in a single room, do not rent multiple VCR decks. Instead ask your computer rentals provider to just use cables to connect one deck to multiple monitors as this can give you additional savings.

Take note: Monitors increase in price as they become larger. So make sure of your audience count before getting the appropriate monitor size.

For LCD projectors or screens, the price range is according to brightness. Low-end LCD projectors usually cost less than the high-end ones. Therefore, the brighter the projector, the higher the cost.

Security of Rented Laptops

If you added a laptop computer rental, make sure it is locked and secure when not in use. A stolen or lost laptop will add up to your bill plus you don't want any accusing on your members. Be sure, as well, to have Adobe Acrobat, Netscape, and Internet Explorer pre-installed in your rented computers.

Speakers

Know in advance the kind of operating systems your guest speakers will use. Some have Apple computers and require Mac OS while some prefer particular versions of Windows OS. Knowing these details saves your time and money in computer and software compatibility.

Internet Connectivity

If you need to use the internet during the meeting, make sure that your IT solutions provider provides good internet connectivity. A fast download saves time therefore you will finish early. Time extension often has an additional cost if you rented the room or venue.
